Hillgrove Music Institute (HMI) 2009/2010 Procedures:

 

HMI Students / Parents,

Thank you for your participation in the Hillgrove Music Institute (HMI) program.  Your desire to improve your musical skills is critical to the overall success of the Band programs.  The Hillgrove Music Institute (HMI) is designed as a pay as you go system; lesson payments MUST be paid in advance.  Instructors will not provide lessons to any student that has not paid ahead unless alternative payment arrangements have been made and permission has been granted by either Patrick Erwin or Chris Ferrell

 

Lesson Signup

 

1.  New Students:  Requirements to begin taking lessons:

a.  Completion of the Hillgrove Music Institute Student Guidelines / Expectations form

b.  Verification from the instructor that they have an opening to provide lessons.  This is between the Instructor and the Students/Parents. 

c.  Payment of one month’s lessons in advance.

                                  i.    Typically, new students’ lessons will be scheduled to start at the beginning of a month. 

                                 ii.    The Instructors are responsible to communicate the # of lessons to the students/parents to be taught in the upcoming month by the 15th of the current month for lessons to be taught the next month. See section 3 ‘Payments’ below for additional information.

2.  Existing Students: Requirements to continue taking lessons:

a.  Payment of one month’s lessons in advance. See section 3 ‘Payments’ below for additional information.

b.  Lessons are expected to continue until the student (or parent) notifies the instructor that lessons are desired to end.  A minimum 24-hour notice is required.

c.  The HMI coordinator will communicate student payment status to the instructors, inform the instructors, and communicate with instructors and students.

PAYMENT

 

3.  Payments:  Payments must be made in advance of any lessons provided.  Typically this means that payment must be received ~ 1 week before the end of the month prior to the month lessons are to be taken.  Your instructor will communicate with you to let you know the number of lessons your student will be scheduled to receive during the next month.  If you are unclear as to how many lessons you will receive for the upcoming month a rule of thumb would be to assume 5 lessons.  Any overpayment will be credited to the following month’s lessons.

a.  Example:  The total amount paid should be the cost/lesson ‘x’ the # of lessons to be taught the next month.  If the number of lessons is not known it is suggested to assume the maximum number of possible lessons in the upcoming month.  For example, if the student is taking 30-minute lessons and there is a possibility of 5 lessons being taught the upcoming month - payment of $115 is expected ($23 x 5).  Any overage of payments will automatically carry over to future month’s lessons.


 

CANCELLATION

 

4.  Cancellations: 

a.  Single Lesson Cancellations:  Should it be necessary to cancel a lesson, it is the responsibility of the student or parent to contact the instructor a minimum of 24 hours ahead of the scheduled lesson time.  DO NOT contact Mr. Ferrell or Mr. Erwin or the HMI Coordinator. Not showing up for a lesson or canceling a lesson with less than 24 hours notice will result in the student being charged for that lesson except in an Extreme Emergency.

b.  Discontinuing Lessons:  If at anytime the student or instructor determine they no longer wish to continue lessons the student and instructor should communicate with each other at least 24 hours in advance of the next scheduled lesson.  It is preferred that discontinuing lessons be scheduled at the end of a month.

c.  Suspension of lessons due to non-payment:  No lessons shall be given without advance payment.  At anytime the student does not have advance payment for planned lessons available lessons will be temporarily suspended until advance payment is made.  The HMI coordinator will provide student payment status to the instructors.

 

STUDENT EXPECTATIONS

 

5.  Expectations:

a.  Students studying privately are expected to attend each lesson with all necessary musical equipment, including any necessary sheet music, instrument and pencil.

b.  Students are expected to practice assignment during the week between lessons and be prepared to perform assigned material during their lesson.

c.  Students are expected to come to their lesson early enough to warm-up properly before their lesson.

d.  Students are expected to maintain the above payment schedule

 

MAKE UP LESSONS

 

6.  Make-Up Lessons:  Instructors are expected to adhere to the same cancellation policy as the students.  Should instructors need to cancel a lesson, it is their responsibility to communicate with their students (and HBBA coordinator) and schedule a suitable make-up time for both parties.


 

FACULTY

 

The purpose of HMI is to pair students up with experts on their instrument.  Each of the following teachers has been interviewed and approved by a Hillgrove Band Director.  Resumes are available upon request.  Feel free to contact any of the private teachers regarding scheduling of lessons, questions, or cancellations.  Please see the above policies for proper cancellation and rescheduling procedures.

HMI LESSON COSTS

 

Lesson payments should be made payable to the HBBA (Hillgrove Bands Booster Association).  The 2009/10 Lesson cost structure is as follows:

 

$23 for 30 minute lessons

$34 for 45 minute lessons

$45 for 60 minute lessons

 

 

Payment Methods:

 

1.   Deposited in the Band Room drop box

 

2.   Made by Credit Card via PayPal (with a 3% PayPal expense) on www.hillgroveband.com

 

3.   Mailed to HBBA: P.O. Box 1435 Powder Springs, GA 30127

 

All Checks must be made out to HBBA.

Please note the student’s name and the purpose of the check on the check memo line to ensure we assign the payment correctly.

 

Payment Status:

 

To view your student’s statement online do the following:

 

1.    Go to www.hillgroveband.com

 

2.    Your student password should be his/her CCSD ID#.  If the ID # does not work try the student’s last name or first initial then last name.

(If you are unable to access your student’s account please contact Mr. Erwin (Patrick.erwin@cobbk12.org) to obtain your student’s password.)

 

3.    Click on the Finances icon to view your student’s Account Statement

 

4.    In the Fundraising Activity section you should see any historical information related to the HMI as well as other fundraising activity.  To understand the ‘Balance’ of your student’s HMI account look at the Amount Due line at the bottom of the Fundraising Activity section:

If this amount is a NEGATIVE, your student has paid ahead for some amount of lessons.  If this amount is a POSITIVE your student owes the amount shown and lessons will be temporarily suspended until advance payments are made.
